People Finder User Guide

PeopleFinder is a web application used for extracting information about people employed in TIFR and across its National Centres and Field Stations. Data gathering and validation is done from varied sources and the process is current & integrated into the TIFR workflow.

Functionality

The People Finder is used to script various automatic pages.
  • The automatic generation of the official homepage i.e. basic webpage for people who do not maintain an active web presence.
  • Extract lists of people in any given department.
  • Various search options available to fetch data related to people. If a search query matches a database element which is not expired as on date, the record will be displayed.

User Interface Elements

  1. People Search:

    This is a search page for people and associated data. There are various search options available.

    • Simple Search:

      This is a search by string / substring of Surname or Rest of the name for a record. The results returned are {Surname Restname, Department, Office Phones, Residence Phones, Mobile Numbers, Fax Numbers, TIFR email}. Name field is hyperlinked to the web page address which is the automatically generated official homepage by default and can be user defined to point to a different homepage address. Also the dept field is hyperlinked to the department homepage.

    • Advanced Search:

      This is a more detailed & specific search as compared to the simple search. Result set returned is similar to the Simple Search case but the result is more fine-tuned based on input parameters. Resultant Name field is hyperlinked to the user homepage and also the department field is hyperlinked to the respective department homepage. Search options include

      • Surname / Restname based substring search and / or
      • Department based search and / or
      • Office Location (Room_no) based search and / or
      • Office Phone based search.

    • Keyword Search:

      This Keyword substring search returns the result which is the set of records of people who have a Professional / Academic interest similar to the keyword used for Search. Result set returned include {Surname Restname, Department, Office Phone, Professional Interests} Resultant Name field is hyperlinked to the user homepage and also the dept field is hyperlinked to the department homepage.

    • Official Mobile Search:

      The two sort options available with official mobile search are {Sort by Role} and {Sort by Name}. The results returned are {Surname Restname, role & official mobile}

  2. Modify Entry:

    This form is used by the end user to request the DBMaster for modification of his / her data.

    • Click on the Modify Entry link.
    • Search for your entry by typing in string / part of the string of your name.All matching entries will be presented to you.
    • Steps to Modify Data:

      • Click on the 'Data' for modification of data fields. A form is presented to you prefilled with the data as available in the People Finder System. Some of these are mandatory fields and are hence not editable. For other editable fields, users are requested to change / correct the data where there is an error in data.
      • Submit the form. An automatic mail will be generated by the system to the registered email address of the user. This mail has a link to a form which contains the data submitted for modification against the user entry along with the information about the IP address from where the data modification was requested .
      • Click on the link provided in the mail. The user has to confirm / reject his entry modification. Based on the user choice, the DBMaster can accept or reject the request for modification. For Security reasons, there is no change made to the entry unless the DBMaster receives the user response. An automatic confirmation mail of modification is sent to user.

      Steps to Add / Modify Photo:

      • Click on the 'Photo' for addition / modification of your photograph
      • In the form presented to you, please enter the Computer Code and select the photo and upload. The DBMaster will process the photo as per the standards of People Finder and upload.

    These pages can be accessed from TIFR campus IP range only. As an alternative, a VPN connection with the TIFR IP range can also serve the request.

  3. Campus Utilities:

    This search utility has two options. Department specific search returns a set of Sections / Subsections associated with the Department and corresponding contact nos. Facility Substring search returns the matching section / facility, associated department, related contact no(s) and fax no.

  4. Other Phonebooks:

    • Colaba Colony Consolidated Page: This page lists the residential address of the people staying in Colaba Colony campus. This page can be accessed from TIFR campus IP range only. As an alternative, a VPN connection with the TIFR IP range can also serve the search.
    • Mandala Colony Consolidated Page: This page lists the residential address of the people staying in Mandala Colony. This page can be accessed from TIFR campus IP range only. As an alternative, a VPN connection with the TIFR IP range can also serve the search.
    • Residential Address Search: This page lists the residential address of the people. This page can be accessed from TIFR campus IP range only. As an alternative, a VPN connection with the TIFR IP range can also serve the search.
    • DAE Institute's Phonebook: Points to a list of associated research institutes under the Department of Atomic Energy.

FAQ

  1. Does every user in TIFR have a People Finder Entry ?

    Every user in TIFR having a computer code allotted by the establishment section has a presence in the People Finder.

  2. How to modify the masked fields of department & residential address?

    Click on Choose Location and go ahead and make the right selection and fill in details.

  3. I am a newly joined member at TIFR. How to include my name in People Finder Database?

    For all newly joined members, DBMaster adds a primary entry based on your joining details. Once your primary entry appears in name search, you can send an email from your TIFR email address to the DBMaster and ask him to update the email information for you. This is mandatory for you to be able to proceed with the modification and further addition of details against your primary entry.

  4. How to modify my entry when I have a string 'No action possible unless email is given to DBMaster' displayed against my entry in modify form?

    You are urged to give your TIFR email or a TIFR departmental email id (Non-TIFR email will not be entertained) to the dbmaster [AT] tifr.res.in along with your ccode.DBMaster will update your email id with verification from your department representative and then you can modify your basic entry and add further details and upload photo.

  5. Why is my People Finder entry not displayed for past few days, but when I try to modify the entry, my data is displayed ?

    This happens because your entry has expired. To rejuvenate the entry, the DBMaster will automatically update the data on information from establishment regarding your extension of service / contract. Then the entry will automatically reappear. You can as well send an alert mail to dbmaster.

  6. What if I want to change my email id in my People Finder Entry ?

    You are urged to give your new TIFR email or a TIFR departmental email id (Non-TIFR email will not be entertained) to the dbmaster [AT] tifr.res.in along with your ccode.DBMaster will update your email id with verification from your department representative and then you can modify your basic entry and add further details and upload photo.

  7. What do I do to change my designation displayed in my official homepage?

    Any designation change due to promotion will be updated automatically in the People Finder system. Incorrect designation can be reported to the DBMaster by email and after verifying the authenticity of information, the change if any required, will be accommodated by the DBMaster.

  8. What if I want to change my surname and restname data in my People Finder Entry ?

    You are urged to give your exactly spelt 'surname' and 'rest of name' parts of name by email to the DBMaster along with your ccode. DBMaster will update your name.

  9. What if I don't want my photograph to be displayed in my official homepage?

    You can submit a modification request in which you can select photo_display to 'N'.

  10. What if I don't want the official homepage & want my custom homepage to link to my name?

    You can submit a modification request in which you can edit the homepage field and insert your custom homepage URL.

  11. What happens if somebody else has submitted a modification request against my entry?

    The system sends a confirmation request to the People Finder registered email id of user and requires a confirmation action from the end user whose data will have to be modified. Only if the end user confirms the modification request as genuine, will the DBMaster update the entry.

  12. Why is it that my photo is not displayed in my People Finder Official Homepage in spite of me adding a photo?

    This is because your photo display option is set to 'N'.You can submit a modification request in which you can select photo_display to 'Y'.

  13. Why do I get error 'Your IP class is not allowed to view this page!' when I try to view some pages in People Finder?

    For security reasons, some sensitive sections of People Finder are disabled for access from IP ranges outside of TIFR LAN, Colaba colony network & Field stations. As a workaround you can access these pages through a TIFR VPN connection. Pages where these restrictions are enforced, include, Colaba Colony Consolidated Page, Mandala Colony Consolidated Page, Residential Address Search & Modify Entry pages.

  14. Why is my residential address in People Finder records pointing to my hometown address?

    That is the residential address data available in the system while creating your record. You can update to your current local address using the Modify link.

  15. How current is the data in People Finder?

    The data in People Finder is tracking the data in the establishment and hence is very much current. At any point of time, if any user notices a miss / an error of information, user can contact the DBMaster by email. Prompt action is assured.

  16. I uploaded a photo against my entry. After a couple of days also the photo is not appearing in my official homepage. Reason?

    Please ensure that the photo display option is set to 'Y'. If it is 'N' against your entry, submit a modification request and set it to 'Y'.

    There is information validation at every stage in People Finder. As part of the protocol, the photo you submitted is verified for identity from your concerned department representative if the DBMaster does not know you personally. An email reply of confirmation from the department representative validates the photo and is in turn processed and uploaded by the DBMaster.
