FAQ

8. How to check email on Mailhost ?

Using Web Service.
By logging into Mailhost.
Using POP3 and IMAP from Netscape.
Forwarding Email to the other machines.

Using Web Service.

This service is similar to yahoo mail or hotmail services. TIFR Web-mail service uses SSL encryption for security of your password. To access Web-mail service use the URL https://mailhost.tifr.res.in or click here.

First time when you use this service, a site certificate generated by TIFR will be installed in your browser which should be accepted by the user. All mails continue to remain in mailhost unless explicitly deleted.

By logging into mailhost.

You can check your mails from pine/mail etc. For this you need to login to Mailhost either from SSH client or from telnet. It is always advisable to use SSH.

SSH clients such as putty (windows) or ssh from Linux or Unix. SSH is secured than telnet.

Usage of ssh in Linux or Unix (use putty for windows 95/98/NT/2000/Me/Xp)

ssh -l <username> mailhost.tifr.res.in <enter>

Usage of telnet in windows 95/98/NT/2000/Me/Xp (click start==>Run) or Linux/Unix.

telnet mailhost.tifr.res.in <enter>

Download putty for windows 95/98/NT/2000/Me/Xp

Using POP3 and IMAP from Netscape.

Basically POP3 downloads mails from TIFR mail server to your local hard disk. Whereas IMAP accesses your mails online from the mail server just like telnet but with GUI interface.

The mail server of TIFR provides POP3 (Post office protocol 3) and IMAP (Internet Message Access Protocol) services. Its upto the users which protocol they use.

configuring for POP3 in Netscape

click on Edit ==>Preferences ==> double click on "mail and News groups" in the left pan ==> Mail servers ==>click on ADD ==> give the server name as tifr.res.in ==> select the server type POP3 server ==> key in the your user name like rameshk ==> tick mark automatically download any new messages. click on POP tab and tick mark on leave message on server if needed to keep a copy on server. But this will raise quota problem. One has to telnet to mailhost and delete unwanted mails to keep himself under quota. Most of the options are user specific. So please select according to your convenience. Click ok and come to the original window. ==>Key in the outgoing mail server as tifr.res.in. and outgoing user name will be your user Id. Let rest remain default and close the window pressing OK. Now your Netscape is ready to use for checking email. communicator ==>messenger and supply password for your account. Do not set remember password in the settings.

Configuring IMAP in Netscape.

click on Edit ==>Preferences ==> double click on "mail and News groups" in the left pan ==> Mail servers ==>click on ADD ==> give the server name as tifr.res.in ==> select the server type IMAP server ==> key in the your user ID like rameshk ==> click on IMAP tab and select delete it immediately when I delete a message and tick mark clean up (Expunge) inbox on exit.

Forwarding Email to the other machines.

You can forward your Mailhost mails to other mail servers like math.tifr.res.in or yahoo.com etc provided you have the account in the same.

just create a file .forward in your home directory of Mailhost and key in the email address where mails to be forwarded like john@yahoo.com.

FAQ

9. How to check my quota on server ?

What is an e-mail quota?

Quota gives the user a list of how much disk space he or she has used, and how much space he may use. Computer centre has established a quota for storage of e-mail on TIFR mail server. Each user has a quota of 400MB for incoming messages 100MB for outgoing mails and your personal files. Since by default, the IMAP protocol leaves mail on the server, you should check your quota periodically to make sure you are within limits. To find out what your quota and usage is for each of these areas, type:

$quota <enter>

Disk quotas for user srinivas (uid 1234)

Filesystem

/dev/sda1
/dev/sda2

blocks            quota           limit              grace

3648              100000         110000
402196*          400000         410000         7days

files        quota        limit             grace

72          0               0

File system (i.e Partitions )

Disk Quota

file Quota

All accounts have a quota for the amount of disk space you may use and another quota for the number of files you can create. In TIFR we have not set quota for number of files. Every account has these quotas assigned at two different locations: your home directory(i.e /dev/sda1); your incoming mail area(i.e /dev/sda2).

The quota information is divided into three sections. The first section consists of the "filesystem" column. This shows the various locations that quota is implemented. The second section consists of "blocks", "quota", "limit" and "grace". This shows the amount of disk space (in kilobytes) that is in use and is allowed. The third section consists of "files", "quota", "limit", and "grace". This shows the number of files that are currently owned and are allowed for the account.

The quota field is known as the soft limit and the limit field is known as the hard limit. The user make utilize disk space up to his hard limit, but after a set grace period there will be a restriction placed on the user to use more disk space until usage has been reduced to below the quota field's number (called the soft limit).

The "blocks" or "files" column shows the number of kilobytes or files that your account is currently using. The size shown in these columns cannot exceed the "limit" column. When your account exceeds the size shown in the "quota" column, you will have 7 days to bring your account back under the quota. The days left will be shown in the "grace" column. After 7 days, you will no longer be able to write to your account until you bring it under the quota.

An asterisk(*) sign in the blocks field shows you are above quota.

To see if you are over quota without listing your usage, quotas and limits, type:
$quota <enter>

To recursively see the size of each file and subdirectory in the current directory, type:
$ls -alR | more<enter>

To see the size of each subdirectory in the current directory, type:
$du<enter>

What to do if you go over quota ?

If you see quota exceeding soft limit, you should reduce it below soft limit within grace time. Otherwise It will not allow you to write any new files to disk after grace period or you will not get mails after grace period. If you have reached hard limit irrespective of grace period it will not allow you to write any new files or send/receive mails. To overcome this problem you should always ensure to be under quota. Once you've freed up some space, you will be able to send/receive messages.

12. Tips to secure file shared windows machines from internet?

If we share files on windows machines with TCP/IP protocol then it is as good as your machine is shared for the internet. And it is risky to share machines on internet as there will be chances of hacking. So it is preferred to use either IPX/SPX compatible protocol or Netbui protocol for file sharing. Below is the procedure to disable TCP/IP for file sharing.

Win 95/98/ME

Start ==> Settings ==> control panel ==> network.==> TCP/IP ==> Properties and click on bindings tab.
click to clear the file and printer sharing check box, click OK on all windows and restart your machine.

Note:- If it is needed to share files then load IPX/SPX compatible protocol or Netbui protocol.
It is advisable to use IPX/SPX protocol for TIFR since Netbui generates little traffic on the network.

Windows 2000/XP

Start ==> Settings ==> control panel ==> Double click "Network and Dial-up Connections" ==> Right
click "Local Area Connections" and select properties ==> Uncheck "File and Printer Sharing for Microsoft Networks" and restart your machine.
